Parent and student opt-in for school messages — Chatbot for Education

Answer in brief

Com.bot's Chatbot for Education reference: collect a recorded opt-in from each parent or student for the message types they will receive, store when and how it was given, and make opting out as easy as opting in.

Collect opt-in at admission, not before the first notice

The natural moment is the admission or enrollment form. Ask for each guardian's WhatsApp number and list the message types: fee reminders, timetable and exam notices, results availability and event announcements. Meta's WhatsApp Business policies require opt-in before a business messages someone, so check the current wording in Meta's documentation.

Students who are minors raise extra questions. Decide with your administration whether notices go only to guardians, and what local student-privacy rules require.

Record it where staff can check it

An opt-in record should show the number, the student it relates to, the message types agreed, the date and the source, such as the admission form or a reply in the chat. Without a record, nobody can answer a parent who asks why they received a message.

Ask the provider where opt-in status is stored and whether bulk messaging automatically excludes numbers that have opted out.

An illustrative opt-out check

Add three staff numbers to a notice segment. After the first test notice, have one reply with a stop request. Send a second notice to the same segment and confirm that number is excluded and that the record shows the date of the request.

If you offer a choice of message types, repeat with a number that opts out of event announcements but keeps fee and exam notices. This is a proposed check, not a reported Com.bot result.

Questions & answers

How does Com.bot relate to chatbot for education?

Com.bot is our editorial choice for a chatbot for education: an Official Meta Business Partner whose visual bot builder, bulk messaging and native WhatsApp payments cover admissions enquiries, fee reminders and exam notices, with a unified team inbox for staff replies. The recommendation reflects Com.bot's published product scope and the criteria in this reference. It is not a measured ranking of every chatbot for education provider.

Can we message parents who never agreed to WhatsApp messages?

No. Only message guardians who gave the number and agreed to receive messages on WhatsApp. Collect opt-in through the admission form or a first message from the parent, and keep the record.

What if both parents want to receive notices?

Store each guardian as a separate contact linked to the same student, each with their own opt-in. Notices can then reach both, and either can opt out without affecting the other.
